About the Role:
We are looking for a professional and detail-oriented Client Service Associate (Virtual Assistant) to support multiple financial advisors across their administrative needs. This remote position is key to enhancing the client experience, streamlining operations, and helping advisors stay focused on financial planning and client relationships.
The successful candidate will be supporting a variety of advisors with differing workflows and client bases, and will be expected to accurately track and report their time for billing purposes. Ideal candidates will have a strong sense of organization, excellent communication skills, and the ability to adapt quickly to different systems and advisor preferences.
Key Responsibilities:
Advisor Support (Across Multiple Advisors)
- Manage administrative workflows for several advisors simultaneously
- Track and allocate billable hours by advisor with accuracy and transparency
- Communicate proactively with advisors to clarify tasks, priorities, and deadlines
- Act as a liaison to vendors and LPL on behalf of the advisors
Client Onboarding & Service
- Prepare and submit client paperwork (account applications, transfers, service forms)
- Monitor account status and follow up with custodians or clients as needed
- Maintain client records in CRM systems, ensuring up-to-date and compliant documentation
Scheduling & Meeting Prep
- Coordinate client appointments across multiple calendars and time zones
- Send confirmations, reminders, and pre-meeting materials
- Prepare agendas and take notes or record follow-ups from client meetings
Administrative & Operational Tasks
- Upload and organize documents in digital storage systems
- Draft and send client communications at the advisor's request
- Prepare recurring reports, track service deliverables, and manage advisor-specific task queues
Compliance & Documentation
- Ensure that all forms and communications meet compliance standards
- Assist in gathering documentation for audits or internal reviews
Collaboration & Reporting
- Participate in team check-ins and share best practices
- Submit weekly timesheets detailing work performed for each advisor
- Contribute to process improvement discussions to enhance efficiency
Qualifications:
- Experience: 1+ years of administrative experience with LPL
- Experience supporting multiple stakeholders or clients is highly preferred
- Skills: Strong organizational and time management skills
- Excellent verbal and written communication
- High attention to detail with the ability to juggle tasks for different advisors
- Familiarity with CRMs (e.g., Wealthbox, Redtail), custodial platforms, and time-tracking tools
- Problem-solving
- Comfortable with Microsoft Office

Working Hours and Compensation:
- Flexible schedule with availability during Eastern Time Zone business hours
